Troubleshooting Availability: Service(s) Times Are Not Displaying Correctly

If you have created your service(s), but they are not available for scheduling at your desired times, there are a few factors that could be in play. Services can have their own availability, Staff can have separate availability, and Date specific availability can be set for staff and/or services. Follow the instructions below to check these different settings:

Solo Accounts (Single Staff)

Team Accounts (Multi Staff)
 

Solo Accounts

Service Level Availability
 

Availability can be set at the service level for an individual service. Availability set at the service level will override the availability set in Settings > Availability & Calendar. To check and edit the availability for an individual service, follow these steps:
 

  1. Navigate to Settings > My Services

  2. Click on the service

  3. Navigate down to the Duration & Availability section

  4.  Under Service availability, check the option "Service has different availability"

  5. Edit the Regular Hours as needed

  6. Click the "Done" button at the top, once all your changes have been made.
     

 Please Note: Once a service has custom availability, the hours selected will override the set default availability

Service Date Specific Availability

The Service(s)'s date specific availability can be added/edited in the following location:

  1. Navigate to Settings > My Services

  2. Click on the specific service

  3. Navigate down to the Duration & Availability section

  4. Under Service availability ensure that "Service has different availability" is selected

  5. Select Availability for specific dates click  "Edit Availability for Specific Dates"

  6. Edit the dates as needed

  7. Be sure to click on "Done" to save your settings
     

General (Default) Availability

Default service availability is determined by the business hours. To edit your default availability, follow these steps:
 

  1. Navigate to Settings > Availability & Calendar

  2. In the Business hours section, set your "General Availability" by editing each individual day

  3. Once your availability is set, scroll down and click "Save Changes"
     

Staff Date Specific Availability

Date specific availability allows you to the set availability on a specific day(s) for a Staff Member. Date specific availability will override the account default, as well as service specific availability. Date specific availability can get set either in Settings > Availability & Calendar or when viewing your Wolbix Calendar. Here are the steps to do so:
 

To set the Date Specific Availability from your Settings follow these steps:
 

  1. Navigate to Settings > Availability & Calendar

  2. Underneath your General Availability times, click "Edit date-specific availability"

  3. The Edit availability for specific dates window opens

    • Edit the individual dates as needed (You can only edit one date at a time)

    • Once you've updated a specific day, save your changes

    • After all the days you want to update are completed, click "Done"
       

To set the Date Specific Availability from your Calendar follow these steps:
 

  1. Navigate to your Wolbix Calendar

  2. Click the "Edit Calendar" button

  3. From the drop down menu that appears, select "Set availability for specific dates"

  4. The Edit availability for specific dates window opens

    • Edit the individual dates as needed (You can only edit one date at a time)

    • Once you've updated a specific day, save your changes

    • After all the days you want to update are completed, click "Done"
       

Team / Multi-Member Accounts
 

Service Level Availability
 

Service level availability and service date specific availability functions the same for both Team and Solo accounts. You can find the instructions for these feature in the Solo section of this article.

Staff Availability

With a Team account, the Primary Admin's availability is the default generally availability for your Wolbix account. However, each staff member can have their own availability, and when a client goes to book with that staff member, they will see the staff member's set availability instead of the default availability.

Please Note: For service times to display to your clients when booking online, the staff member(s) assigned to the service must have availability during the time the service is offered.

 

Admin/Managers
 

Admin and managers can edit not only their own default availability, but they can also edit all staff members availability. Here are the steps to do so:
 

  1.  Navigate to Settings > Staff

  2. Hover the mouse of the staff member you want to edit

  3. Click the 3 dot icon that appears, and select "Staff Settings" from the drop down menu that appears

  4. Select "My Schedule" in the side bar that opens

  5. Edit the general availability and click "Save Changes" once completed
     

Non-Admin Accounts

All staff can still configure their own availability as well. To edit your availability when you are not an Admin or Manager, follow these steps:
 

  1. Navigate to Settings

  2. Select "My Schedule" from the side bar

  3. Edit the general availability and click "Save Changes" once completed
     

Date Specific Availability

Date specific availability allows you to the set availability on a specific day(s). Date specific availability will override the account default, as well as service specific availability. Adding additional blocks of time or removing blocks of availability is handy for holidays, vacations, emergencies, etc. 

Date specific availability can get set either in Settings or from the Wolbix Calendar. Here are the steps to do so:

Updating Via Settings - Date Specific Availability (As an Admin / Manager)

  1. Navigate to Settings > Staff

  2. Hover of the staff member being edited

  3. Click on the 3 dot icon and select "Staff Settings"

  4. That staff members settings will open

    1. Select "My Schedule" from the left side menu now displaying

    2.  Under Business hours click on "Edit date-specific availability"

    3. The Edit availability for specific dates window opens

      • Edit the individual dates as needed (You can only edit one date at a time)

      • Once you've updated a specific day, save your changes

      • After all the days you want to update are completed, click "Done"

OR
 

Updating Via Settings - Date Specific Availability (As a non Admin / Manager)
 

  1. Click on Settings

  2. Select "My Schedule" from the left side menu now displaying

  3.  Under Business hours click on "Edit date-specific availability"

  4. The Edit availability for specific dates window opens

    • Edit the individual dates as needed (You can only edit one date at a time)

    • Once you've updated a specific day, save your changes

    • After all the days you want to update are completed, click "Done"
       

Wolbix Calendar Date Specific Availability
 

  1. Navigate to your Wolbix Calendar

  2. Click the "Edit Calendar" button

  3. From the drop down menu that appears, select "Set availability for specific dates"

  4. The Edit availability for specific dates window opens - at the top of the window the staff whose availability is being edited will display in bold

    • Edit the individual dates as needed (You can only edit one date at a time)

    • Once you've updated a specific day, save your changes

    • After all the days you want to update are completed, click "Done"
       

Admins / Managers Please Note: When you have multiple staff, the window that opens will default for your individual account, unless you are utilizing Staff View to view the Wolbix account as another Team Member. When you change your view to "As Staff Name" you can then set the Date Specific Availability for the selected staff member through the Calendar. When the Edit availability for specific dates window opens, also confirm at the top who you are adjusting the availability by double checking the staff member name that displays.
