How to Set the Availability, Preparation Time, and Online Booking Calendar Intervals for Your Services

 

With the advanced settings for services, you can set the Availability, Preparation Time, and Online Booking Calendar Intervals for each service. These features will help you to make the most of your time and have more control of the services you provide for maximum flexibility!

Service Availability

When a service is available for a client to book online, the availability will default to your business hours. However, you can also customize the service availability.

Here are the steps to do so:

  • Step 1: Navigate to Settings > My Services

  • Step 2: Select a service to edit

  • Step 3: Scroll down to the section Service Availability

  • Step 4: Select the option "Service has different availability"

  • Step 5: Enter the custom availability for this individual service

  • Step 6: Once set up, click the Done button at the top of the page
     

Choosing the "Service has different availability" option for your service means the times the service is available will be based on what you inputted, and will override the default regular business hours set in your settings Availability & Calendar. Like staff availability, services can also have date specific availability. If there is a specific date you know you will have different hours for an individual service, you can also click on Edit Availability For Specific Dates and you can edit the availability for just the service.

Please Note: For the service to display online for booking, any staff member assigned to the service must have availability that also aligns with the service availability.

 

Preparation Time
 

For each service, you can set aside blocks of time between each appointment. This will help provide time for travel or give a cushion between client meetings or phone calls. Preparation time also helps to avoid appointment fatigue and overlap; ensuring that you will not have back-to-back bookings with no breaks in between. Preparation times that you can select range from "No preparation time" to "2 hours".
 

To set preparation time for a service, follow these steps:

  • Step 1: Navigate to Settings > My Services

  • Step 2: Select a service to edit

  • Step 3: Scroll down to Duration & Availability

  • Step 4: Under Duration click the "Preparation time" to select the desired amount of prep time

 
  • Step 5: Once completed click the Done button at the top of the page

Please Note: Setting prep time blocks off a specified period of time on your calendar before each appointment. Preparation time is not calculated for the first available appointment of the day.

 

Online booking calendar Intervals

This setting lets you control the frequency a service displays to clients for booking, each day the service is available. For example, if you set an interval of 60 minutes, your online calendar will display available time slots for the service beginning at the top of the hour. (The appointment duration can be shorter or longer than the interval you choose.) By default, the interval is set to calculate automatically according to the meeting duration and the preparation time, but this can be customized to your business needs.

To edit a service's calendar intervals, follow these steps:

  1. Step 1: Navigate to Settings > My Services

  2. Step 2: Select a service to edit

  3. Step 3: Scroll down to Duration & Availability

  4. Step 4: Click the drop down menu under Online Booking Calendar Intervals

 
  • Step 5: Once set, click the Done button found at the top of the page
